This policy explains what the mobile apps published by The Legacy Office LLC ("we," "us") collect, why, and who it is shared with. One policy covers all of our apps, because they share one account, one set of systems and the same approach to your data. We keep this deliberately plain: we collect only what your library or course needs to work, we do not sell your data, and we do not use advertising or cross-app tracking.
Where a section applies to only some of the apps, it is labelled. Everything else applies to all three. Your sign-in (email address and password) is the same across the apps.
The short version
Everything the apps collect goes to our own systems to run your account, library and course. We use no advertising networks and no third-party analytics, and we do not track you across other apps or websites. Course reflections are shared with your assigned Sherpa, and no one else. The only outside services your device contacts are named below: Vimeo for optional videos, Microsoft Teams for course meetings, and (in The Legacy Office app only) Google Fonts for typefaces.
To sign you in, we use the email address you enter. For course participants and most library clients, your place is prepared in advance by The Legacy Office, so your name and enrollment already exist in our client records and are shown to you in the app. When you set or use a password, it is sent over an encrypted connection solely to authenticate you. Password strength is checked on our own servers; we do not send your password to any outside service. If you ask for a password reset, we email a reset link to the address on file.

If you arrive through a placement link (an invitation from
someone who placed a book with you), you create your account in the app. We ask
for your first name, last name, email address, phone number
and a password, and we record which link you arrived by and who shared it with
you, so the placement can be honoured.
The written answers you record in the app's reflection questions are saved to your account so you can return to them and so your Sherpa can support your work.
Who reads your reflections
Your reflection answers are shared with your assigned Sherpa as part of the guided course. They are not shown to other participants and are not used for any purpose beyond delivering the course.
As you move through modules, books, audiobooks and podcasts, the apps record progress milestones (for example, a module started, a book opened, or a quarter, half, three-quarters or all of a title finished) and sync them to your account. Milestones are recorded in our client records so your progress is accurate across sessions and devices. In the course apps they are visible to your Sherpa; in The Legacy Office app they are visible to our team.
Your exact reading position, playback speed, bookmarks, highlights and reading notes, display settings (dark mode, text size, reading font) and any drafts you have not yet submitted are stored on your device only and are not sent to us. Downloaded ebooks, audiobooks and podcast episodes are cached in the app's storage so they play without a connection. The Legacy Office app lets you remove them from its settings; uninstalling any app removes them along with everything else stored on the device.
Your account identifier ties your activity to your client record. Each app also generates a random per-installation identifier, kept in the device's secure store, that associates this device's downloads and progress with your account. It is not an advertising identifier and is not used to track you across other apps or services.
If The Legacy Office has given you placement links, the app shows you your own links (their code, the book, and any label) and lets you share a link, a QR code or a printable card through your device's share sheet. Sharing hands the link or file to the app you choose; what that app does with it is governed by its own policy. When someone redeems your link, the redemption is recorded in our client records and attributed to you. The app does not show you the receiver's details.
The app asks for camera access only when you choose to scan a placement QR code. The code is read on the device; no photos or video are saved or sent to us. You can decline or revoke camera access in your device settings and enter the link another way.
We use the information above only to:
We do not use your information for advertising, profiling for third parties, or sale to data brokers.
If you allow notifications, the course apps schedule local reminders on your device, for example a reminder shortly before a meeting or on the day a module begins. These reminders are generated from your course schedule on the device; we do not operate a push or marketing notification service. The Legacy Office app sends no notifications.
A few features rely on services we do not operate. When you use them, your device connects to that service directly, and the service receives the standard connection details of any internet request (such as your IP address and device type). We choose the most private settings each service offers.
We share your information only as needed to run your library and course:
We do not sell your personal information, and we do not share it with advertising or analytics partners.
All communication between the apps and our systems uses encrypted HTTPS/TLS connections. Your sign-in tokens and installation identifier are stored in the device's secure hardware-backed store (the iOS Keychain or Android Keystore). When you sign out, those tokens and any locally queued progress are cleared from the device.
We keep your account, reflections and progress for as long as your enrollment or library access is active, or as needed to provide the service and meet our legal obligations. You may request access to, correction of, or deletion of your personal information by contacting us at the address below. You can revoke notification or camera permission at any time in your device settings, remove downloaded files from The Legacy Office app's settings, and delete all on-device data for any app by uninstalling it.
Our apps are intended for adults and are not directed to children under 13. We do not knowingly collect personal information from children. If you believe a child has provided us personal information, contact us and we will delete it.
Our systems are operated from the United States. If you use the apps from elsewhere, your information is transferred to and processed in the United States, and the outside services named above may process the limited connection data they receive in other countries.
We may update this policy as the apps evolve. Material changes will be reflected by the "Last updated" date above, and where appropriate we will notify you in the app or on our website.
